Childcare is a service InterVarsity offers to staff who need to bring their children to an event with them for legitimate reasons. When childcare is offered at an event, the only cost to the parents is through taxable income (see below). The cost of running childcare at national events is determined by multiple factors: the costs of housing, meals, travel, and compensation for Childcare Workers, equipment/supplies/snacks purchased to run childcare, and anything else necessary in meeting the needs of the children and Childcare Workers on-site. Because of the varying costs from event to event, the cost per hour per child is not calculated until after the event ends. In general, parents can expect to pay anywhere from $10–20 per hour per child in taxable income for the length of time your child is in InterVarsity’s care.
For Staff Conference 20 (SC20), the following limits will be in place:
- Parents with children three and under may utilize the childcare services and have these expenses reported as taxable income.
- Parents with children aged four and up will need to provide their own childcare and cover these expenses out of pocket.
If you feel that it is not feasible to find another option for childcare while you are away at an event, please contact us and we will evaluate each situation on a case-by-case basis.
What is taxable income?
Pretend you’re on the Price is Right. You’ve won an all-expenses paid trip to SC20. Congratulations! However, the US government requires a portion of that. Just as you would pay taxes on a free trip to the Bahamas or a new car, you have to pay taxes on your trip to SC20. This is how we report taxable income to be reflected on your paycheck.
How will childcare work at SC20?
Childcare will only be available during official SC20 programming, starting on January 2 and ending on the evening of January 5.
The childcare rooms will be located on the second floor of the hotel in Hospitality Suites. Prior to each session, parents participating in InterVarsity’s provided childcare will drop off their child to their designated room. We will separate the children into two groups: infants (under one-year-old or not walking) and toddlers (over one-year-old or walking).
Children will need to be picked up within 15 minutes of the end of a session. More information will be sent prior to SC20.
Parents should feel free to bring toys to share and any special items that their child would need. We will provide snacks for the children on-site.
When do I have to decide whether to use childcare?
Parents who plan to use childcare must sign up for this service through the registration form or by sending an email to staffconference@intervarsity.org no later than November 27, 2019.
The childcare rooms will be staffed according to the number of families that sign up. It is very important that we have an accurate count of the actual need for childcare. If you sign up, then later decide not to use child care please notify staffconference@intervarsity.org no later than Friday, December 6, 2019. All families who are signed up for childcare will share the cost as taxable income, even if they decide not use this service and do not notify SC20 staff by December 6.
